    Assumes the authority, responsibility and accountability of administering the Penn Highlands Elk (PHE) the Volunteer Program.

    Performs a variety of administrative duties to coordinate the activities and procedures of the PH Elk Education function. Often performs tasks independently. Exercises judgment in selecting and applying established procedures correctly and in determining when to refer situations. Requires ability to make decisions related to administrative support function. Each employee is responsible to provide good customer service to all customers (employees, patients, families, visitors, physicians, volunteers, vendors, etc.)

     

    Responsibilities

    *Complies with Penn Highlands Elk policies and procedures, accreditation agency requirements, and federal, state or local law and regulations

     

    Directs the recruiting, training, and placement of the volunteers to augment the activities of hospital personnel.  Matches volunteer’s interest and skills with tasks to be performed.

     

    Ensures Volunteers receive appropriate supervision and training

     

    Develops and implements new volunteer tasks and volunteer positions.  Meets with Volunteer Manager s to discuss department volunteer needs.

     

    Makes sure Volunteer managers keep record of Volunteers hours and report in and out times

     

    Meets with volunteer personnel to assist in identifying and correcting problem areas and/or the improvement of services.  Maintain

     

    CONFIDENTIALITY of all pertinent patient care information to assure patient rights are protected

     

    Develops and maintains a computer database on all volunteers and activities.  The database will track volunteer’s hours, competencies, and mailing addresses.

     

    Ensures Required  Volunteer Education/Competency/Performance Evaluation documentation is maintained

     

    Assists and supports the Educator in coordinating, preparing, scheduling and recording training sessions

     

    Assists with the coordination of the job shadow program.

     

    Assists with the organization and coordination of the “New Employee Orientation” program.

     

    Assists in the coordination of Simulation Training.

     

    Assist in the monthly update of the education files.

     

    Enters data on education courses into the electronic file.

     

    Answers routine inquiries from staff and program facility regarding educational programs and activities

     

    May perform library/online research or gather other relevant information needed.

     

    Keyboards text and information such as letters, reports, memos, course materials, etc.

     

    Composes correspondence, reports and memos.

     

    Arranges meetings and conferences and keeps records.

     

    Make sand schedules appointments.

     

    Sets up and maintains file systems.

     

    Answers phones, takes messages and route calls.

     

    Possesses organizational skills and is able to prioritize work and multi-task

     

    Clerical skills must be accurate and efficient, detail orientated.

     

    Possesses above average computer skills in Excel, Word, Internet and Power point

     

    Ability to operate office equipment and A/V equipment

     

    Has the ability to work effectively with diverse people and has excellent interpersonal and communication skills, both verbal and written

     

    Physical requirements: Is physically capable of performing essential functions of this position as specified on the physical requirement s form

     

    Continuing Education: Participates in educational conferences, updates, in-services or reads available material, to maintain knowledge and skills related to areas of practice.

     

    Maintains competency: Completes competency evaluations on an entry level or annual basis as determined by department manager.

     

    Contributes to the Education and Volunteer function goals by accomplishing related duties as required and/or assigned.

     

    Qualifications

    • HIGH SCHOOL EDUCATION, REQUIRED. ASSOCIATES DEGREE, PREFERRED.
    • 1 YEAR+ EXPERIENCE IN VOLUNTEER OR PUBLIC RELATIONS OR EDUCATION OR HUMAN RESOURCES
    • EFFECTIVE VERBAL COMMUNICATION SKILLS AND PROBLEM SOLVING SKILLS,
    • DEMONSTRATED COMPUTER SKILLS IN MICROSOFT OFFICE AND EXCEL,
    • ABILITY TO HANDLE MUTIPLE TASK AND PRIORITZED WORKLOAD
    • GENERAL KNOWLEDGE OF HEALTHCARE VOLUNTEER AND EDCUATION REQUIREMENTS.
    • KNOWLEDGE OF MEDICAL TERMINOLOGY
