THE OFFICE ASSISTANT is responsible for organizing and performing all business office functions related to daily operation within the DEPARTMENT. Functions include receiving patients, and assessing their needs. Carries out all duties to meet patient needs such as scheduling, record maintenance, facilitating orders, answering telephones, etc. Provides clerical support to personnel.

Responsibilities

*Complies with PENN HIGHLANDS DUBOIS policies and procedures, accreditation agency requirements, and federal, state or local law and regulations

 
Scheduling of patients:

A.      Answers phones

B.      Conducts telephone interviews (screening)

C.      Calls for recent x-rays or studies pertaining to patient scan.

D.      Directs patients on procedure and answers all questions patient may have.

 
Prints daily schedule for physicians and technologists.

 
Takes all insurance information by phone and when patient arrives, copying all necessary cards and forms.

 
Schedules x-rays of orbits when necessary, instructing patient as needed.

 
Checks on all previous surgeries if needed.

 
Obtains all clinical information from physician or patient.

 
Completes all appropriate paperwork.

 

 
Scans proper patient’s information in HIS/RIS system.

 
Returns outside films and CDs.

 

 
Interviews inpatients in their rooms or by phone.

 
Sends reports to referring physicians and others if needed.

 
Sends films/CDs to physicians upon request.

 
Prepares films/CDs to patient for referrals, and keeps records of dates released and returned.

 

 
Delivers and retrieves mail from mailroom daily.

 
Assists technologists when needed for positioning patients, lifting, etc.

 
Keeps daily statistics.

 
Other duties as directed.

 

Qualifications

  • HIGH SCHOOL DIPLOMA OR EQUIVALENT REQUIRED.
  • ONE TO TWO YEARS MEDICAL OFFICE SETTING EXPERIENCE PREFERRED.
  • TYPING/COMPUTER SKILLS INCLUDING MICROSOFT OFFICE.
  • HEALTHCARE PROVIDER CPR CERTIFICATION FROM THE AMERICAN HEART ASSOCIATION WITHIN THE FIRST YEAR OF HIRE.
  • MEDICAL TERMINOLOGY PREFERRED
